PATS S.A., operating under the trade name TRUST TRAVEL (hereinafter referred to as the agency), takes your rights regarding data processing seriously. In this document, we explain how we collect, process, and use your personal data. It constitutes the agency's general policy on data processing, in accordance with applicable legislation, including the General Data Protection Regulation (GDPR).

As an insurance broker, the agency can play a dual role in data processing. In this case, we are both data controllers and data processors. We assume the role of data controllers when we process data on our own behalf and for our own purposes. In addition, we also act as processors on behalf of insurance companies, collecting and processing personal data for the insurance companies with which we collaborate and whose products we offer and sell. In this statement, we only address the processing of your data as data controllers.

For all questions regarding our privacy policy, please contact us at travel.insurance@trustravel.be. For questions that go beyond a simple request for information, we may ask you to identify yourself to ensure that we provide the requested information to the right person.

When does our agency collect and process data?The agency collects and processes data about you when you contact us for advice on insurance contracts, to propose or present insurance contracts, to carry out preparatory work for the conclusion of insurance contracts, and for the conclusion of insurance contracts themselves. In addition, you can also call on us or contact us for assistance in managing and executing the insurance contracts you have concluded. We also process your data when you contact us in any other way. Finally, we may also obtain data about you from third parties and use this data to contact you in order to conclude an agreement through us. Account data is collected if you use our interactive application.

What data does our agency collect and process?
The agency collects and processes the data you provide when you contact us, such as your name, address, email address, and business contact details, such as company name and VAT number.  This also includes all data necessary for us to assess your insurance needs. This includes, in particular, data concerning your car (in the context of assistance insurance), your travels, and your medical data (in the context of cancellation insurance). Medical data is only processed with your explicit consent. Your data is only processed in the context of the insurance for which you call on us, unless you indicate otherwise.

We collect this data when you fill out our documents and forms manually, as well as when you do so electronically. Cookies are used when you visit our website. For more information on this subject, please contact the agency.

For what purpose does our company collect and process data?
The purposes for which we process data are varied and are set out below. For our customers, we process this data for customer management, including the acceptance, management, and conclusion of insurance contracts, as well as the promotion of other products and services offered by our office. This processing is primarily based on the contractual relationship with our customers, but also for prospecting purposes, unless you indicate otherwise.
For suppliers, we process this data as part of our supplier management and based on the contractual relationship we have or establish with our suppliers. For prospects, i.e., individuals who are not (yet) our customers, we process data for direct marketing purposes, based on our legitimate interest in doing so. For prospects contacted by email, we ask for their permission to contact them in the future. With regard to our website, we tailor the content and user-friendliness to you as users as much as possible. In addition, we process your data to comply with the obligations arising from the provision of a website and its content, and to enable you to use the interactive applications and services on this website.

PATS S.A. does not make decisions that could have consequences for individuals based on automated processing.

What are the legal bases for data processing by our agency?
In principle, we collect and process your data on the basis of the contractual relationship we have with you due to your request or inquiry regarding an insurance need and the resulting contracts, as well as due to the request to assist you in managing and monitoring the insurance contracts you have concluded.

When processing is not necessary for the performance of the contractual relationship, it is based on our legitimate interests as a company, in particular freedom of enterprise and information. We always ensure that there is a balance between our interests and yours, for example by granting you a right to object.

With regard to health data or so-called sensitive data, we can only process your personal data with your explicit consent. This is requested when you become a customer with us. If this has not been done, we ask you to inform us so that the necessary measures can be taken.

Is the data shared with third parties?
Your data is never shared for commercial purposes. However, it must be shared with the insurance company with which you ultimately conclude the agreement. We may use third parties for certain one-off services. In such cases, your data may be shared with these third parties, but only for the service in question and always under the control of our agency.
In certain cases, there is a legal obligation to disclose certain data. This is particularly the case when we are legally required to do so or when public authorities have the right to request data from us.
In principle, your data will not be transferred to third countries or international organizations.

Your rights
The regulations grant you various rights designed to ensure adequate protection.
You have the right to access, correct, or delete your personal data. In addition, you have the right to withdraw any consent you may have given to PATS S.A. to process your data or to object to the processing of your personal data. You also have the right to data portability. You can send us a request to send the personal data we hold about you in a computer file to you or to another organization you have specified. You can send a request to exercise one or more of the above rights to travel.insurance@trustravel.be. In order to ensure that the request has been made by you, we ask you to attach a copy of the front of your identity card. We will respond to your request as soon as possible, and in any case within 4 weeks of receiving your request.
